Gravity Forms to Excel
Deliver every Gravity Forms entry into a live Excel Online workbook - compound fields decomposed into columns, multi-page forms captured on final submit, payment metadata included. Real time, via Microsoft Graph, without middleware.
Requires Gravity Forms license
Why Gravity Forms Users Need Excel Automation
Gravity Forms is the premium builder for agencies and developers, and agency clients disproportionately run on Microsoft 365 - the reports they expect are Excel workbooks, not Google Sheets. Gravity Forms has no native Excel integration, and its complex Name, Address, and List fields break simple connectors that expect flat data. SheetLinkWP decomposes compound fields into individual Excel columns and writes rows in real time - see the Excel Online destination. No other WordPress plugin offers direct form-to-Excel-Online delivery.
The Real Cost of Gravity Forms + Excel Middleware
- Zapier meters every entry as a task - a lead-gen site doing 1,000 entries/month runs $30+/mo, roughly $1,080 over 3 years
- GravityExport can generate .xlsx files on a schedule ($129-$249/yr), but those are point-in-time file snapshots - not a live workbook your team keeps open
- Power Automate has no Gravity Forms connector - you need the Webhooks add-on plus Premium per-user licensing (~$15/user/mo) and expression-level flow maintenance
How to Connect Gravity Forms to Excel Online
Step-by-step setup guide
- 1
Install SheetLinkWP
Upload and activate the SheetLink Forms plugin on your WordPress site.
- 2
Connect Microsoft
Go to SheetLink -> Destinations -> Excel Online and click Connect Excel. Sign in with a Microsoft 365 work or school account. OAuth runs through SheetLink's hosted broker - no Azure app registration on your side - and refresh tokens are encrypted at rest.
- 3
Pick a Workbook and Table
Choose a workbook on OneDrive and the Excel table that should receive entries. Existing tables in the workbook appear automatically.
- 4
Map Gravity Forms Field IDs
Open the form editor and note field IDs. Simple fields use whole numbers (1, 2, 3). Compound fields use sub-IDs: Name -> 1.3 (First), 1.6 (Last); Address -> 5.1 (Street), 5.3 (City), 5.4 (State), 5.5 (ZIP). Map each to its own Excel column.
- 5
Test with a Live Submission
Complete all pages of the form, submit, and verify the row appears in Excel. The full walkthrough lives in the tutorial: Gravity Forms to Excel Online without Zapier.
SheetLinkWP Excel Features for Gravity Forms Users
Compound Field Decomposition
Name, Address, Date, Time, and List fields are split into individual Excel columns - so State can be a filter and ZIP can feed a PivotTable, instead of everything landing in one blob.
Multi-Page Form Handling
Entries are delivered once, on final submission, with fields from every page in a single Excel row.
Payment Entry Metadata
Stripe, PayPal, and Square transaction details from Gravity Forms payment add-ons land in the same row as the entry - revenue and lead data in one workbook.
Live Workbook, Not File Exports
Rows are written to an Excel Online workbook on OneDrive via Microsoft Graph in real time. Unlike scheduled .xlsx exports, the workbook is always current - and Power BI can sit on it for live client dashboards.
UTM & Ad Click ID Enrichment
gclid, fbclid, msclkid, and all utm_* parameters are captured automatically and appended to every Excel row - the attribution your client reports need.
Retry Queue
If Microsoft Graph is briefly unavailable, delivery retries automatically - 3 attempts at 15-minute intervals - and any entry can be re-fired manually from the Retry Queue page.

Frequently Asked Questions
Do I need the AI Pack for Excel-only delivery?
Only if Excel is your sole destination. Mirroring Gravity Forms entries into Excel alongside Google Sheets is included free with the core plugin. Excel-only delivery - no Google Sheet anywhere in the flow - requires Primary Destinations, part of the AI Pack, at $29/mo or $290/yr.
Is this a CSV export?
No. Entries are written to a live Excel Online workbook via Microsoft Graph as they are submitted. That is the key difference from GravityExport-style scheduled exports: there is no file, no schedule, and no gap between submission and spreadsheet.
Does it work with Microsoft 365 Business?
Yes. Any Microsoft 365 account (Business, Enterprise, Education) works. Personal Outlook.com accounts are not supported by Microsoft's Excel API. Agencies can connect each client site to the client's own Microsoft tenant.
How are compound fields like Name and Address handled?
Each sub-field maps to its own Excel column - Name 1.3 (First) and 1.6 (Last), Address 5.1 through 5.5. Checkbox choices (3.1, 3.2, 3.3) map individually too, so the workbook stays filterable.
Does it work with Gravity Forms payment add-ons?
Yes. Transaction IDs and amounts from Stripe, PayPal, and Square entries are included in the Excel row alongside the form fields.
What about entries from multi-page forms?
All fields from all pages arrive in one delivery, triggered on final submission - partial page-by-page data is never written.
